Institute Registration / Cancellation
Who can attend the institute?
The institute is open to anyone who is interested in best practices in higher education. It is designed to be of special interest to faculty, Accreditation Liaison Officers, Leadership Teams, chief executive/academic officers, and others who are interested in programs that foster institutional improvement.
When will I be able to register for the institute?
Registration for the institute will begin in March 2009 and end on June 26, 2009. You are encouraged to register early as space is limited and registrations will be accepted on a first-come, first-served basis. The Commission reserves the right to close registration early if demand exceeds our capacity at the hotel. There will be no onsite registration.
How can I register for the institute?
You can register online with a credit card (Visa and Master Card) or check/money order using the interactive site at www.sacscoc.org/institute.asp. If your payment option is a check, a copy of your registration confirmation and check should be mailed within 30 days to SACS-COC Summer Institute, 1866 Southern Lane, Decatur, GA 30033-4097. Checks or money orders should be made payable to SACS-COC Summer Institute. We will not process registrations via fax, e-mail, or phone. Sorry, purchase orders are not accepted.
Is there a limit on the number of participants from an institution?
Yes, due to limited space, no more than 5 participants per institution will be allowed to attend. Individuals who have attended a Summer Institute previously will be allowed to register after March 31, 2008, provided space is available.
What is the institute registration fee?
The registration fee is $750.00 if postmarked by Friday, June 26, 2009. Registration includes all session materials, continental breakfast for three days, buffet lunch for two days, refreshment breaks, and a reception. If payment is not received within 30 days from the date of registration, you may forfeit your registration. A $25.00 fee will be charged for returned checks and denied credit cards.
Are there any additional fees?
Optional activities include a trip to Space Center Houston on Sunday, July 19, 2009; the cost for admission and transportation is $25. There will also be a Shopping Trip to The Galleria on Sunday, July 19, 2009. The cost of transportation is $10. Information about these activities can be found at www.sacscoc.org/institute.asp.
When will I receive registration confirmation?
Registrants will be notified via e-mail of the status of their registration. If you do not receive confirmation within three business days, you are asked to e-mail us at institute@sacscoc.org. All communication from us will be sent electronically; therefore, be certain to check your e-mail folders (including spam mail) through July 2009. NOTE: Be sure to click the finish button to finalize the registration process and receive a confirmation number. You are not registered until you receive a confirmation number.
Is there a reduced rate or one-day rate for attending only a portion of the institute?
Discounts of $50 per person are available for teams of three or more from the same institution provided registration materials are submitted simultaneously and postmarked by Friday, June 26, 2009. We do not offer a one-day rate.
How do I cancel my registration and receive a refund?
Cancellations, substitutions, and requests for refunds must be submitted in writing. Request a refund of all fees paid less a $50 processing fee before June 12, 2009. Request a refund of all fees paid less a $100 processing fee after June 12, 2009 and before June 26, 2009. After June 26, 2009, all fees are nonrefundable. Refunds will be processed after the institute.
Can I recommend a colleague if I am unable to attend?
You can substitute a colleague from your institution at no cost on or before June 26, 2009, by contacting us at institute@sacscoc.org.

Hotel Registration
When will I be able to make hotel reservations for the institute?
Reservations for housing will open in March 2009. All hotel reservations at the Hilton Americas must be made through Passkey via Connections Housing in order to receive the conference rate. Please reserve your hotel room early; we are holding a limited number of rooms and do not plan to contract with other hotels.
How can I make a hotel reservation?
Housing requests can be made online (preferred), in writing, by phone, or fax. Reservations will be made on a first-come, first-served basis. The standard room rate at the Hilton Americas is $145.00 per day (single or double), $170 triple, and $195 quad, plus tax (currently 17%). This group rate will be available to participants 3 days prior to and following the institute based upon hotel availability. The cut-off date for making housing requests is Friday, June 26, 2009. After this date, reservations will be accepted on a space-available basis. Hotel check-in time is 3:00 p.m. Check-out time is 12:00 p.m. Valet parking is $28.00 per day or $16.00 per day for self-parking. Housing inquiries should be directed to:

Online hotel requests can be made at www.sacscoc.org/institute.asp. Acknowledgements will be sent from Passkey after each reservation booking, modification, and/or cancellation. Please review all information for accuracy prior to submission.
Can I make my hotel reservations using a credit card?
Yes, credit cards can be used to make hotel reservations. One night’s deposit by check or credit card will be required to secure your reservation.
When will I receive my hotel confirmation?
You will receive your hotel confirmation via e-mail from Passkey after each reservation booking, modification, and/or cancellation. You will not receive a confirmation from the hotel. You can expect to be charged a $50 early departure fee if you check out prior to your planned departure date. Please attempt to make changes in your hotel reservations at least 72 hours prior to arrival. In the event of an emergency, you are asked to notify the hotel of any changes in the length of your stay prior to check-in.
Can the institute registration fee and housing deposit be included in one check?
No, these payments cannot be combined. A copy of the conference registration confirmation and check should be sent to the SACS-COC Institute, 1866 Southern Lane, Decatur, GA 30033. The housing registration deposit should be sent to Connections, 820 Church Street, Decatur, GA 30030, 404-842-0954 fax.

How can I find out about the institute program and schedule?
A tentative program for the institute is available at www.sacscoc.org/institute.asp. A detailed program will be posted on this Web site in May 2009.

Activities
Will the Commission offer any group activities for participants?
Yes, an optional trip to Space Center Houston and The Galleria will take place on Sunday, July 19, 2009. In addition, one guest may accompany the registered participant at our opening reception on Sunday, July 19, 2009 at 6:30 p.m. at no charge.

Does the Commission on Colleges have a recommended airline carrier?
No, we do not; however, a number of airlines provide service to Houston. Travel assistance can be obtained by contacting your travel agent or Georgia International Travel at (404) 851-9166 or (800) 444-3078.

Houston has two airports, George Bush Intercontinental (IAH) and William P. Hobby (HOU). You can travel downtown from the airport via taxi or private shuttle. Bush Intercontinental is 25 miles from downtown and Hobby is 12 miles from downtown.
Local travel
The hotel is located about 25 miles (30 minutes) from Bush Intercontinental Airport. Transportation to and from the airport is approximately $23 USD (super shuttle) and $45 USD (taxi). The hotel is about 12 miles (15 minutes) from the William P. Hobby Airport. Transportation to and from the airport is about $18 USD (super shuttle) and $20 USD (taxi). Car rentals are available at the airport and the hotel.
Driving
From Intercontinental Airport (IAH): Exit Bush Airport and follow the directional signs to the 1-45/Beltway 8 Exit. Proceed onto Beltway 8 West, then exit onto I-45 South. Follow I-45 South to downtown. Exit McKinney St. and follow McKinney St. to La Branch. Turn right on La Branch. Go down 2 blocks to Dallas and turn left on Dallas. Go down 2 blocks and the hotel will be on the right.
From Hobby Airport (HOU): Exit Hobby Airport and follow the directional signs to I-45 North. Take 45 North to the downtown destinations/Scott Street split. Follow the split to the Pease Street exit and continue down to Austin St. Turn right on Austin and continue to Dallas St. Turn right onto Dallas St. and go down 3 blocks and the hotel will be on the right
Recommended attire
Business casual attire is recommended for institute participants. Attendees are urged to bring a jacket because meetings rooms tend to be cool.
